The Renegade Board is finally forming! Use this page to nominate members for various Board positions.

Board Nomination Requirements:

  • - Board nominees must be Renegade Bookbinding Guild members in good standing.

  • - Board nominees must have served as a Renegade Volunteer for a minimum of one year prior to election.

  • - The Treasurer position must be filled by a US resident; all other positions are eligible for international leadership.

What is the timeline for Board elections?

  • Nominations Open | May 7th, 2024 - May 13th, 2024 @ 11:59PM PST

  • Candidates Announced | May 20th, 2024

  • Voting Period | May 20th, 2024 - June 3rd, 2024 @ 11:59PM PST

  • Final Results Announced | June 10th, 2024

Who can nominate a board member?

  • Any Renegade Bookbinding Guild member in good standing may nominate, and eventually vote, for the board.

    • Your nominations must be eligible, per the three nomination requirements (see above).

    • Your nominee reserves the right to turn down the nomination.

    • Nominations are anonymous otherwise; your nominee will not know you nominated them.

      • As nominations are anonymous, you may also nominate yourself if you so choose!

What happens if I don’t accept the nomination?

  • All nominees are well within their right to turn down a nomination, for any reason. Nominations will be confirmed with the nominees before candidacy is announced at large.

How will the process work?

  • Nominations will open at the bottom of this page; nominees will be contacted to confirm after the nomination period. They’ll be provided with a list of pre-drafted questions, in addition to any questions submitted by the community (you can submit questions on the nomination form, even if you don’t have someone you want to nominate!). They will have 1 week to draft their responses, which will be posted for voters to read at the beginning of the voting period.

  • Voting will take place through the Renegade Guild website, with voting credentials checked against our list of eligible Guild members by current Renegade volunteers. Winning candidates will be contacted after the votes have been tallied, to ensure they would like to accept the position, before the Board is publicly announced. In the event a candidate is unable to accept the position, the second place by popular vote will be contacted.

I’m interested in accepting a nomination; what are the job requirements?

  • First and foremost, Board members will by necessity have their legal names attached to Renegade’s incorporation documents.

  • We will have seven board members: President, Vice President, Secretary, Treasurer, Public Affairs Director, Volunteer Director, and Community Director.

  • The President, Treasurer, and Volunteer Director positions are a 3 year term; elections are held every 2 years, with the third year of the current President/Treasurer/Volunteer Director’s term utilized as a training period for the President/Treasurer/Volunteer Director-elect. The elect year serves as year 1 of the incumbent’s term. See bylaws for more details.

  • Vice-President, Secretary, Public Affairs Director, and Community Director office terms are 2 years, elections will be held every 2 years.

  • You must be available, within reason, for the outlined duties of your role (see below). Please note that the time commitment of a Board position is greater than that of a general volunteer.

Board Positions & Duties:

PRESIDENT

The President shall:

  • Structure and publish annually the intended direction and priorities of the Renegade Bookbinding Guild (strategic plan) for the long and short term.

  • Communicate to the Guild annually the current status of past priorities and efforts (performance review). 

  • Coordinate joint efforts between other members of the board. 

  • Work with the Secretary to prepare meeting agendas. 

  • Ensure facilitation of board meetings. 

  • Arrange for or take part in new board member orientations. 

  • Serve as the nonprofit’s spokesperson, as needed.

  • Take the lead in the annual board member self-evaluation process. 

  • Help guide and mediate Board actions with respect to organizational priorities and governance concerns.

  • Ensure that timelines are met and that parties are accountable to their responsibilities within the strategic plan.

  • Communicate as needed with directors and officers to ensure that action items are met and that activities are in-line with the mission and vision of the guild.

  • Charge teams and officers with work as it relates to the strategic plan.

VICE PRESIDENT

The Vice President shall:

  • Communicate with and oversee the Events teams process and progress. 

  • Accept and process new events proposals.

  • Accept and process event joint efforts with the resources and social media teams and their respective board members.

  • Ensure facilitation of the Renegade Events yearly calendar.

  • Report to the Board on the Events team status.

SECRETARY

The Secretary shall:

  • Keep a book of minutes of all meetings of the directors, and, if applicable, meetings of committees of directors and of members.

  • Ensure that the minutes of meetings of the corporation, any written consents approving action taken without a meeting, and any supporting documents pertaining to meetings, minutes, and consents be contemporaneously recorded in the corporate records.

  • See that all notices are duly given in accordance with the provisions of the bylaws or as required by law.

  • Keep the membership book up to date with all members/former members and their membership status.

  • Exhibit at all reasonable times to any director of the corporation, or to their agent or attorney, on request therefor, the bylaws, the membership book, and the minutes of the proceedings of the directors of the corporation.

  • Communicate and oversee the efforts of the Resources team, in conjunction with the Volunteer Director; including specifically the Historian team, Translations team, and AO3 team.

  • Accept and process joint efforts with the events and social media teams and their respective board members.

  • Ensure statistics and records of Guild Events are accurately recorded and preserved. 

TREASURER

The Treasurer shall:

  • Have charge and custody of, and be responsible for, all funds and securities of the corporation, and deposit all such funds in the name of the corporation in such banks, trust companies, or other depositories as shall be selected by the board of directors.

  • Receive, and give receipt for, monies due and payable to the corporation from any source whatsoever.

  • Disburse, or cause to be disbursed, the funds of the corporation as may be directed by the board of directors, taking proper vouchers for such disbursements.

  • Keep and maintain adequate and correct accounts of the corporation’s properties and business transactions, including accounts of its assets, liabilities, receipts, disbursements, gains, and losses.

  • Exhibit at all reasonable times the books of account and financial records to any director of the corporation, or to their agent or attorney, on request therefor.

  • Render to the president and directors, whenever requested, an account of any or all of their transactions as Treasurer and of the financial condition of the corporation. 

  • Prepare, or cause to be prepared, and certify, or cause to be certified, the financial statements to be included in any required reports.

  • Facilitate and oversee the Renegade Merch team.

  • Accept and process event joint efforts with the events teams and their respective board members.

  • Accept and process new project and outreach proposals.

PUBLIC AFFAIRS DIRECTOR

The Public Affairs Director shall:

  • Develop Guild social media guidelines and policies. 

  • Oversees all Guild social media managers. 

  • Accept and process social media joint efforts with the resources and events teams and their respective board members.

  • Craft and approve official public statements for the Guild, including those made by other board members and volunteers. 

  • Field communications on behalf of Renegade, including but not limited to press inquiries, questions received to the official Renegade channels, etc.

VOLUNTEER DIRECTOR

The Volunteer Director shall:

  • Actively recruit new board members, officers, and volunteers, and help to retain current members.

  • Manage and maintain volunteer agreements, privacy policies. and liability forms. 

  • Help the President to develop and implement officer transition plans.

  • Organize and develop the growth and structure of the Guild’s volunteer body. 

  • Mediate conflict between volunteers and refer volunteers to a misconduct review board if required.

  • Develop and implement Equal Opportunity, Anti-Discrimination, and Anti-harassment policies for the Guild volunteers. 

  • Develop and uphold volunteer standards of conduct. 

  • Communicate and oversee the efforts of the Resources team, in conjunction with the Secretary; including specifically the Resource Organizers and Graphics team.

  • Accept and process joint efforts with the events and resources teams and their respective board members.

  • Maintain yearly website maintenance & Renegade’s physical archiving to an organizational hard drive.

COMMUNITY DIRECTOR

The Community Director shall:

  • Maintain and propose updates on membership misconduct review policies. 

  • Determine members for a misconduct review board (MRB) should a code of conduct violation be reported and ensure they are informed of the duties expected in their time on the MRB.

  • Liaise the determination of action from the MRB to the board of directors, ensuring that the secretary is aware if a member has been determined to be removed.

  • Serve as the main point of contact for matters pertaining to the guild’s interaction with the Renegade Bindery discord server. 

  • Maintain and propose updates to guild membership policies. 

  • Process membership requests at least once monthly, ensure that newly approved members have been added to the Renegade Bookbinding Guild website and that the main discord moderators and secretary of the Renegade Bookbinding Guild have been notified so they can update their respective records. 

  • Track membership expiration dates and reach out to members at least 30 days prior to their membership expiration to remind them about renewing. Inform main discord moderators and secretary of the Renegade Bookbinding Guild of any members’ who have lapsed so they may be removed from the respective lists. 

  • Serve as the main point of contact for membership questions and concerns.
